Closeout Readiness — Full Solution Walkthrough

Follow every step in order. Buttons open the exact LAWABox record, list, report, dashboard, or Setup page in a new tab. The walkthrough uses the dedicated record SE-0096 — WALKTHROUGH - Closeout Validation (Sandbox).

0. Start, sign in, and protect real data

Sandbox only. Confirm the browser address contains --lawabox.sandbox. Do not repeat the edit tests in LAWA production.
  1. Open the sandbox using the button below and sign in if Salesforce requests authentication.
  2. Use a user assigned Closeout Editor. Viewer users can inspect pages, reports, and dashboards but cannot perform edit/validation steps.
  3. Only edit SE-0096 — WALKTHROUGH - Closeout Validation (Sandbox). Its External ID is LAWA-CLOSEOUT-WALKTHROUGH.
  4. Keep this walkthrough open in one tab; every blue button opens Salesforce in another tab.
Starting baseline: Work Included is checked; Warranty, O&M, and As-Built are Not Started; Attic Stock is Not Received; Training is Required; all five percentages and Closeout % are 0%.

1. Verify the Project page separates Systems from Areas

  1. Click Open MSC South Project.
  2. At the top, verify the record header says Midfield Satellite Concourse – South.
  3. Look in the large center panel below the header/path. Its horizontal tab row includes Setup, Work Management, and People.
  4. If Systems & Equipment is not visible, click the More dropdown at the far-right end of that same tab row.
  5. Open Systems & Equipment. In the related list body, find display name WALKTHROUGH - Closeout Validation (Sandbox).
  6. On the same tab row, open Areas / Rooms. It is a separate tab immediately after Systems & Equipment. MSC South currently has no Element Location rows, so an empty-state message is expected; the test is that room inventory is not mixed into the S&E list.
Pass: two distinct tabs exist; the walkthrough row appears only under Systems & Equipment, while Areas / Rooms renders its own related list/empty state.

2. Verify the S&E Closeout record page

  1. Open the walkthrough record. The highlights panel spans the top of the record under the breadcrumb. Confirm it shows SE-0096, the display name, Closeout %, and Work Included.
  2. Below the highlights/path, look at the center tab row. It contains Details, Closeout, and Tests & Checklists.
  3. Click Closeout. In the Closeout Readiness card:
    • Left column: Work Included, Stakeholder, Document Title, Revision, SharePoint URL, Warranty Status, and O&M Status.
    • Right column: As-Built Status followed by read-only Closeout, Warranty, O&M, As-Built, Attic Stock, and Training percentages.
  4. Editable rows show a pencil icon at the far right when you hover. Formula rows do not offer a pencil.
Pass: the Closeout tab is visible, editable status/link fields are on the left, calculated percentages are read-only, and the baseline is 0%.

3. Test status-to-percent mappings and stakeholder ownership

  1. On the Closeout tab, hover over Stakeholder and click its right-side pencil. Search for and select LAWA Facilities Management Division (FMD).
  2. Use the pencil icons to enter the values below. Salesforce places a floating edit footer at the bottom of the record; click the blue Save button at its bottom-right after all values are entered.

Pass: right-column formulas show Warranty 40%, O&M 50%, As-Built 50%, Attic 0%, Training 0%, and equal-weight Closeout 28%. Refresh once if Lightning has not recalculated immediately.

4. Test required SharePoint URL validation

  1. Remain on the record's Closeout tab.
  2. Hover over SharePoint URL in the left column, click its pencil, delete the URL, and click Save in the floating footer at the bottom-right.
  3. Look for the red inline error directly under SharePoint URL and the red error notification near the top of the edit panel.
  4. Re-enter https://example.sharepoint.com/sites/lawa-closeout/walkthrough and click Save again.
Pass: the first save is blocked with “Add the current SharePoint URL before advancing an included closeout document.” The second save succeeds.

5. Test warranty dates, expiration, and revision reopening

5A — Date requirement and expiration

  1. On the Closeout tab, use the Warranty Status pencil to select Complete, then click the floating footer's bottom-right Save. Because dates are blank, confirm the save is blocked. Click Cancel at the bottom-left of the edit footer so the prior Draft Submitted value remains.
  2. Click the Details tab in the center tab row.
  3. Click Edit in the record action buttons at the upper-right of the highlights panel. In the edit modal, scroll to the Warranty section.
  4. Enter Warranty Start 1/31/2026 and Warranty Period 1 month, then click the modal's bottom-right Save.
  5. Return to Closeout, set Warranty Status to Complete, and save. Back on Details, inspect Warranty Expiration in the Warranty section; then return to Closeout and confirm Warranty % is 100%.
Pass: Complete without dates is blocked; with dates it saves and expiration becomes 2/28/2026 (month-end safe).

5B — New revision reopens completion

  1. On Closeout, edit SharePoint URL by appending ?revision=2. Change Revision to WT-2, then save.
  2. Read Warranty Status and Warranty % in the same Closeout card.
Pass: changing the URL on a previously Complete warranty automatically changes status to Revised / Accepted Pending Final and percentage to 80%.

6. Test attic-stock quantity validation

  1. On the record, open Details and click Edit in the upper-right record action area.
  2. Scroll in the edit modal to the Attic Stock or handover/documentation section.
  3. Set Attic Stock to Received, leave Attic Stock Quantity blank (or 0), and click Save at the modal's bottom-right.
  4. Confirm the inline quantity error. Enter quantity 1 and save again.
  5. Return to Closeout; inspect Attic Stock % in the right column.
Pass: Received without a positive quantity is blocked. Quantity 1 saves and Attic Stock % becomes 100%.

7. Complete all categories and verify managed-field synchronization

  1. On Closeout, edit O&M Status to Accepted and As-Built Status to Updated.
  2. Edit Warranty Status back to Complete. The dates entered in step 5 remain populated.
  3. Open Details, click upper-right Edit, find Training, set it to Completed, and save.
  4. On Details, locate the documentation/handover fields and verify package O&M Manuals is Received and package As-Built Update is Updated. These are synchronized by the before-save Flow.
  5. Return to Closeout and inspect all six calculated percentages in the right column.
Pass: Warranty, O&M, As-Built, Attic Stock, Training, and overall Closeout all display 100%; managed package statuses read Received and Updated.

8. Verify the Included Closeout list view

  1. Open the list view. Under the Systems & Equipment object title at the upper-left, the list selector should read Included Closeout.
  2. If another view opens, click the down-arrow beside the list-view name at upper-left and choose Included Closeout.
  3. Locate WALKTHROUGH - Closeout Validation (Sandbox). The row should show Project, Stakeholder, Closeout %, category percentages, SharePoint URL, and Revision across the grid.
  4. Click the column-header arrow on Closeout % to sort and confirm percentages are numeric, not editable.
Pass: the Work Included walkthrough row appears with FMD, WT-2, the current SharePoint URL, and 100% closeout.

9. Verify the stakeholder rollup report

  1. Open the report. The report title appears at upper-left as MSC South Closeout Readiness.
  2. Click Run at the upper-right if Salesforce opens the report builder instead of results.
  3. In the outline/results, confirm the first grouping is MSC South and the second grouping is LAWA Facilities Management Division (FMD).
  4. Expand the FMD group using the caret to its left and locate the walkthrough row.
  5. Inspect the subtotal/grand-total labels for each percentage. They must show Average, never Sum.
  6. Use the Filters panel at upper-left to verify Work Included = True and Project = Midfield Satellite Concourse – South.
Pass: FMD contains the walkthrough record, percentage summaries are Average, and SharePoint/Revision detail is available.

10. Verify the executive dashboard and training metrics

  1. Open the dashboard. At upper-left, confirm title MSC South Closeout Readiness. At upper-right, the dashboard action row includes Refresh.
  2. Click Refresh at upper-right and wait for all tiles to finish loading.
  3. At the top of the canvas, verify the Project filter is set to Midfield Satellite Concourse – South.
  4. Top row: inspect Overall Closeout Readiness gauge, Training Sessions, and Training Participants.
  5. Middle: inspect Closeout Readiness by Stakeholder; FMD should be a bar/category after report refresh.
  6. Bottom: inspect Closeout Detail and find the walkthrough display name, FMD, Closeout %, and URL columns.
  7. Click the walkthrough row or chart bar to drill into the source report, then use the browser Back button to return.
Pass: all five dashboard components render, Project filter works across compatible sources, FMD closeout is visible, and training metrics load.

11. Administrator verification: Flow, permissions, and deployment

This section requires Setup access. Viewer users can skip it after an administrator signs off.

Flow activation

  1. Open Flows. In the center list, search for System: Closeout Normalize.
  2. Confirm Status is Active and the active/latest version is 1. Do not click New Version or deactivate it.

Permission assignments

  1. Open Closeout Editor. On the permission-set overview page, click Manage Assignments near the top.
  2. Confirm active COS Enablement, COS Project Team, Citiri Admin, and System Administrator users are assigned.
  3. Open Closeout Viewer and use the same top Manage Assignments button. Confirm active COS Executive and COS Stakeholder users are assigned.

Deployment status

  1. Open Deployment Status. Find deployment ID 0AfVG00000LVgq50AD.
  2. Confirm Status = Succeeded and Components = 27/27. The dashboard folder move is deployment 0AfVG00000LVhJ70AL.
Pass: Flow v1 is active, both permission sets have the expected profile populations, and both deployments succeeded.

12. Restore the repeatable walkthrough baseline

Do not delete SE-0096. Restore it so the next tester starts from the same baseline.
  1. Open SE-0096 and set Warranty, O&M, and As-Built statuses to Not Started.
  2. On Details, set Attic Stock to Not Received, clear Attic Stock Quantity, and set Training to Required.
  3. Clear Warranty Start, Warranty Period, and Warranty Expiration if editable. Because Warranty is now Not Started, date validation will not block the save.
  4. On Closeout, clear Document Title, Revision, and SharePoint URL. Leave Work Included checked and leave FMD as Stakeholder so list/report grouping remains testable.
  5. Click the bottom-right Save, refresh the record, and confirm all category percentages and Closeout % return to 0%.
  6. Open the Included Closeout list and confirm the record still appears.
Final pass: the record remains Work Included, appears in Included Closeout, and has 0% across all closeout calculations, ready for the next run.
